How to Build Automations (Workflows)

Out Front CRM's Workflows (also called Automations) allow you to automate repetitive tasks, streamline communications, and create personalized experiences based on user behavior.


Step 1: Access the Automation Builder

  1. Log into your Out Front CRM account

  2. Navigate to Automation in the left-hand menu

  3. Click + Create Workflow to start a new one, or click on an existing workflow to edit

Choose from:

  • Start from Scratch

  • Use a Template (recommended for beginners)


Step 2: Add a Workflow Trigger

The first step in every workflow is to add a Trigger — the event that sets your automation in motion.

Popular Trigger Options:

  • Form Submitted

  • Contact Tag Added

  • Appointment Status Changed

  • Birthday Reminder

  • Order Submitted

  • Pipeline Stage Changed

  • Contact Created

You can also apply filters (e.g., only if contact is from a certain campaign or has a specific tag).


Step 3: Add Actions

Once the workflow is triggered, you define what happens next.

Most-Used Actions in Workflows:

  • Send Email: Deliver automated emails instantly or on a delay

  • Send SMS: Text messages directly to your contact’s phone

  • Wait/Delay: Pause the workflow for a specific time

  • Assign to User: Route the lead to a team member

  • Add/Remove Tag: For contact organization or tracking

  • Add to Opportunity: Put the lead into a pipeline with a defined stage

  • If/Else Condition: Add branching logic based on tags, custom fields, or behavior

  • Webhook: Connect to third-party apps or services

  • Internal Notification: Notify your team via email or SMS


Step 4: Adjust Settings & Controls

In the Settings tab (top right of the builder), you can:

  • Name the workflow

  • Turn on/off Workflow Trigger Filters

  • Toggle Stop on Response (pauses workflow if the lead replies)

  • Set Default Assigned User

  • Add Notes for team clarity


Step 5: Test & Publish

Use the Test Contact feature to simulate how the workflow runs. Once tested, switch the Status toggle at the top right to Publish.


Bonus Tips:

  • Use Folders to organize your automations

  • Duplicate existing workflows to reuse structure

  • Monitor performance under the Analytics tab
